AI Integration Services in Dubai: Adding AI to Your Existing Software
اقرأ هذا المقال بالعربيةPrices are estimates. The final price depends on the features and functionality you need.
AI integration services connect AI models to the software your business already runs, such as your CRM, ERP, website or app, so the AI can read your real data and, when you allow it, act inside those systems. You keep your existing software and add AI where it earns its place: answering from your own information, reading documents, or completing tasks like creating a lead. In Dubai and the UAE, most projects cost AED 25,000 to 250,000+ to build, and the connections usually take more of the budget than the AI itself. We offer this as part of our AI development services in the UAE, so weigh this guide with that in mind.
The short answer
- Check what your software already includes. If your CRM's own AI covers the job, it will usually beat a custom build on cost and speed.
- There are four kinds of integration: a read-only assistant, document reading, an agent that acts in your systems, and AI features inside your own product. Risk and cost rise with what the AI is allowed to change.
- Start read-only. Let the AI look things up and answer before it can change a single record.
- Never hand the model your database. Put a layer between them that exposes only narrow actions, checks permissions and logs everything.
- Budget roughly AED 25,000 to 70,000+ for an assistant, AED 60,000 to 180,000+ for an agent that writes to your systems, and 25 to 40 percent of the build cost per year to run it.
The four kinds of AI integration
"AI integration" covers very different projects. Working out which one you need is the most useful step, because it decides the price and most of the risk.
| Integration | What it does | Example | Risk |
|---|---|---|---|
| Read-only assistant | Answers from your content and live data, and changes nothing | A customer asks about an order on WhatsApp and gets the status from your system | Lower: the worst case is a wrong answer |
| Document reading | Pulls fields out of incoming documents and passes them to your system | Supplier invoices go into accounting, with exceptions sent to a person | Medium: a person should check what it isn't sure about |
| AI agent | Decides what a request needs, then acts through your systems | Creates the lead, books the slot or opens the ticket mid-conversation | Higher: needs limits, logs and a human override |
| AI inside your product | Adds AI features to software you own or sell | Summaries, search, drafting or asking questions of your data in plain language | Varies: customer data and access rights need care |
If you are weighing up the third row, our guide on what an AI agent is explains the difference from a chatbot, and our AI agent development service covers how we build them.
Check what your software already includes
Before paying anyone to integrate AI, including us, check what you already have. The big CRMs now ship their own:
- Zoho CRM has Zia, an assistant that Zoho says can retrieve customer information, provide sales forecasts, set reminders and create tasks.
- Salesforce says Agentforce lets agents use customer data, trigger workflows and update records across its platform.
- HubSpot describes agents in its Agent Hub as built on your CRM data.
What you get depends on your plan, so check the current terms with the vendor. If the built-in tool does the job, use it. Custom integration tends to earn its cost when the work crosses several systems, when your rules live outside the CRM, or when a packaged tool struggles with how your customers actually write. Test that last point on real Arabic and English messages rather than on the vendor's demo.
How AI connects to your systems safely
The model doesn't log in to your CRM. Your code sits between them, and that layer is what makes the integration safe. Letting a model request an action is a standard feature, covered in OpenAI's function calling guide and Anthropic's tool use documentation. What you allow it to do is your design.
- Narrow actions, not open access. Expose "look up this order" or "create this lead", never a general database connection.
- Permissions checked in code. The AI should only reach what the person it's serving is allowed to see, enforced by your software rather than by instructions in a prompt.
- Answers grounded in your content. Retrieval over your documents and data means the AI answers from what you've given it, and can say it doesn't know.
- A log of every action. Record what was requested, what ran and what came back, in a store you control.
- A plan for failure. Your CRM will have downtime. The integration should queue and retry safely, without creating a duplicate record or leaving a customer waiting in silence.
- Swappable AI providers. Keep the model behind your own interface, so changing provider or version doesn't mean rebuilding the integration.
You may also hear about the Model Context Protocol, an open-source standard for connecting AI applications to external systems. A standard connection can reduce plumbing, but it doesn't decide what the AI should be allowed to do, so everything above still applies.
CRM and ERP integration: where to start
AI and CRM integration
A CRM is usually the best first target, because the actions are easy to reverse and the data problem is obvious. Sensible first steps are capturing enquiries from WhatsApp into the CRM, qualifying leads with a few questions, and writing a summary for the salesperson who picks it up. Much of this doesn't need AI at all, and our guide to CRM automation in Dubai covers what plain automation can do first.
AI and ERP integration
Be more careful with an ERP, because its records drive money, stock and tax. Start with questions that only read data, then move to drafts a person approves, such as a purchase order or an invoice entry. Keep anything that posts to your accounts behind human approval until you have a long record of accuracy. Document reading is often the best first ERP project, and automating invoice processing walks through one.
When your system has no API
Older desktop software and some portals have no way to connect directly. The options are a software bot that works through the screen, a data export on a schedule, or a phased move to a newer system. Our guide to RPA services in Dubai explains when a bot is the right answer and when it's a costly workaround.
Is your business ready?
These five answers tell you more about a project's cost and chances than anything about the AI:
- 1Can the system be reached? Is there a documented API, and does your plan include access to it?
- 2Is the information right? If your prices, policies or customer records are out of date, the AI will repeat the errors quickly and confidently.
- 3Is there a safe place to test? A sandbox or test account lets you try actions without touching live customers.
- 4Who owns it after launch? Someone needs to review conversations and update content.
- 5How will you measure it? Record today's response time, processing time or missed enquiries first, or you won't know if it worked.
Your data and AI providers
Connecting AI means sending some of your data to a model, so ask where it goes. OpenAI says data sent to its API isn't used to train its models unless you opt in, and Anthropic says it doesn't use inputs and outputs from its commercial products for training by default. Those statements cover business and API use, so don't assume they apply to personal accounts your staff use, and read the current terms before you sign.
Send only the fields a task needs, and check with your legal or compliance adviser how the UAE Personal Data Protection Law and any sector rules apply to you. If you need data kept inside the UAE, raise that at the start, because it affects the hosting design and running costs.
What AI integration costs in the UAE
| Integration | Build cost (AED) | Typical time to live |
|---|---|---|
| Assistant on your website or WhatsApp, answering from your content and data | 25,000 to 70,000+ | 3 to 6 weeks |
| Document reading, one document type, into one system | 35,000 to 90,000+ | 4 to 8 weeks |
| AI agent that takes actions in your systems | 60,000 to 180,000+ | 6 to 14 weeks |
| AI features inside your own product | 70,000 to 250,000+ | 2 to 5 months |
On a typical project, connecting to your systems and handling their failures takes 30 to 40 percent of the budget, which is often more than the AI layer. Each system you add is a separate piece of work with its own limits and downtime. Budget 25 to 40 percent of the build cost per year for hosting, model usage, monitoring and corrections. Our AI development cost guide breaks all of this down, and our AI agent cost guide covers agents in more detail.
A sensible way to roll it out
- 1Pick one painful task with a number attached, such as enquiries answered too late or hours spent keying invoices.
- 2Build it read-only on real data, so you can judge the answers on your own customers rather than on a demo.
- 3Add one low-risk action, with a person approving each one at first.
- 4Remove the approval step only when it has become a formality, and keep the logs and limits.
- 5Then add the next system or language, rather than connecting everything at once.
When you don't need AI at all
If the rules are clear and stable, a plain integration is cheaper, faster and more predictable than a model: when an order is paid, create the invoice. AI earns its place when the input is messy, like free-text messages or varied documents. If your process isn't defined or your data is unreliable, fix that first, because AI will only make the problem faster. Our guide to business process automation in Dubai covers the non-AI route.
How we work on this
We quote a fixed price for a defined first phase, after looking at your real systems and data. We've built this kind of connection in production: our AI customer engagement platform uses function calling and a central tool registry so its AI can create leads, open tickets and book meetings, and answers from each company's own content through vector search. The AI insurance claims platform keeps every AI provider swappable, and plain code owns the workflow rather than the model. If AI turns out not to be the right tool for your problem, we'll tell you.

Talk to us about AI integrationFrequently asked questions
What are AI integration services?
They connect AI models to software you already use, such as a CRM, ERP, website or app, so the AI can answer from your real data and carry out approved tasks. The work includes the connections, permissions, testing and monitoring, as well as the AI itself. You keep your existing systems rather than replacing them.
How much does AI integration cost in Dubai?
An assistant on your website or WhatsApp typically costs AED 25,000 to 70,000+ to build. Document reading costs AED 35,000 to 90,000+, an AI agent that acts in your systems costs AED 60,000 to 180,000+, and AI features inside your own product cost AED 70,000 to 250,000+. Budget 25 to 40 percent of the build cost per year to run it. Prices are estimates. The final price depends on the features and functionality you need.
Can AI be added to our existing software without replacing it?
Usually, yes, as long as the software has an API or another reliable way to connect. The AI sits alongside your system and works through a controlled layer. If there is no API, a software bot or scheduled data export may work, though these tend to be more fragile.
Can AI connect to our CRM or ERP?
Yes. Most modern CRMs and ERPs can be connected through their APIs. A CRM is usually the easier place to start because its actions are simpler to reverse. With an ERP, start by reading data, then move to drafts a person approves, because those records affect money, stock and tax.
How long does AI integration take?
An assistant usually takes 3 to 6 weeks, document reading 4 to 8 weeks, and an agent that acts in your systems 6 to 14 weeks. AI features inside your own product take 2 to 5 months. The state of your systems and data is usually the biggest variable.
Is our data safe if we integrate AI?
It depends on the design and on the provider's terms. Send only the fields a task needs, check permissions in code, log every action and review the provider's current data terms. OpenAI and Anthropic both say API data isn't used for training by default. Check with your legal or compliance adviser which UAE rules apply to you.
Should we use our CRM's built-in AI or build our own?
Try the built-in AI first if it covers the job, because it's usually cheaper and quicker. A custom integration makes more sense when the work crosses several systems, when your rules live outside the CRM, or when the packaged tool doesn't handle your customers' language well enough in testing.
